Privacy Policy

How PlanItTour handles information when you visit the site, create an account, draft contracts, or share documents.

PlanItTour.com (the "Website" or "Service") is operated by PlanItTour.com, LLC ("Company," "we," "us," or "our"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

PlanItTour is a self-serve tool for performers, venues, promoters, and sponsors to draft, save, share, and download performance-related contracts and riders. We are not a booking agency and we do not sell personal information to outside sponsors or data brokers.

By using the Website you acknowledge this Policy. If you create an account, you also accept our Terms of Service. If you do not agree, do not use the Service.

1.Who this Policy covers

This Policy applies to visitors, people who use the free contract tools without an account, and registered Members (performers, venues, sponsors, or both). It covers the Website and related features such as account login, cloud-saved documents, PDF export, and share links.

It does not cover third-party websites you open from our pages, or how other users (for example a venue you send a contract to) handle documents once they receive them outside our Service.

2.Information we collect

a) Account and profile data — If you sign up: email address, password (stored as a secure hash by our authentication provider, not as plain text we can read), display name, and the role you select (performer, venue, sponsor, or both). We may also store metadata such as when you accepted the Terms of Service.

b) Document content — Contracts, riders, titles, template choices, field values (for example artist name, venue, fee, performance date, hospitality notes), HTML document content, and draft/final status. You control what you put in those fields. Treat show fees, personal contact details, and other sensitive deal terms carefully.

c) Sharing data — If you enable sharing, we generate a share token and store whether sharing is on. Anyone with the link can view the shared document while sharing is enabled.

d) Local / browser data — Drafts may be kept in your browser (for example local storage) when you work without signing in or before a cloud save. We also use cookies or similar storage for session authentication after you log in.

e) Usage, device, and security data — Basic technical information used to run and protect the Service: IP address, approximate location derived from IP, browser and device type, pages viewed, referrers, timestamps, and security signals. We may use privacy-friendly analytics (for example Cloudflare Web Analytics) and abuse-prevention tools (for example CAPTCHA / Cloudflare Turnstile) on signup or sign-in.

f) Communications — If you email us or contact support, we receive the content of that message and any contact details you include.

We do not require payment card numbers for the free tier. If paid plans are offered later through a payment processor, card data would be handled by that processor under its own terms — we would not store full card numbers on our servers.

3.How we use information

  • Provide, operate, and improve the Website and contract tools (including templates, PDF export, and dashboard features)
  • Create and authenticate accounts; reset access; prevent fraud, spam, and abuse
  • Save, retrieve, and share documents you create when you use cloud features
  • Send service-related messages (for example account confirmation, security notices). Where permitted, we may send product updates; you can opt out of promotional email where we provide that control
  • Measure site usage in aggregate (traffic, popular pages) to improve the product
  • Comply with law, enforce our Terms of Service, and protect rights, safety, and security

Consistent with our long-standing Terms of Use: we do not sell your personal information to outside sponsors.

4.Legal bases (where applicable)

If you are in a jurisdiction that requires a lawful basis for processing (for example the EEA/UK), we typically rely on: contract (to provide the Service you request), legitimate interests (to secure, measure, and improve the Service in ways that do not override your rights), and consent where we ask for it (for example account registration acceptance of Terms and this Policy, or optional marketing).

5.Sharing and processors

We share information only as needed to run the Service or as described here:

  • Infrastructure providers — Hosting, authentication, database, analytics, and CAPTCHA vendors process data on our behalf under contractual obligations. Depending on configuration, that may include services such as Netlify (site hosting), Supabase (auth and database), and Cloudflare (analytics and bot protection).
  • Share links — When you turn sharing on, the document content is available to anyone who has the URL. That is intentional. Disable sharing or treat the link like a secret if the deal terms are sensitive.
  • Legal and safety — We may disclose information if required by law, legal process, or to protect the rights, safety, or property of Company, users, or the public.
  • Business transfers — If Company is involved in a merger, acquisition, or asset sale, information may transfer as part of that transaction, subject to this Policy or successor notice.

We do not sell personal information and we do not rent email lists to advertisers. Other users you deal with offline or by email after exporting a PDF are outside our control.

6.Cookies, local storage, and similar tech

We use cookies and similar technologies for essential functions (session login) and, where enabled, privacy-friendly analytics. Draft document data may live in your browser until you clear site data or save to an account. You can control cookies through your browser settings; blocking essential cookies may prevent sign-in from working.

7.Retention

We keep account and cloud document data while your account is active and as needed for legitimate business, security, or legal purposes. Local browser drafts last until you clear them or the browser removes them. Share tokens remain usable until you disable sharing or delete the document.

You may request account deletion by emailing webmaster@planittour.com. After deletion, residual copies may remain in encrypted backups for a limited period before automatic purge, and we may retain limited records where law requires (for example fraud prevention or legal claims).

8.Security

We use reasonable technical and organizational measures appropriate to a small SaaS product — including encrypted connections (HTTPS), hashed passwords via our auth provider, and access controls on cloud data. No method of transmission or storage is completely secure. Use the Service under the risk allocation in our Terms of Service.

You are responsible for keeping your password confidential and for the content you choose to put in contracts (including fees and personal contact details of third parties).

9.Your choices and rights

  • Access / update — Sign in to review and edit profile details and documents you own.
  • Delete — Delete documents in the product where available, or request account deletion by email.
  • Sharing — Enable or disable document share links at any time.
  • Marketing — Opt out of promotional email where offered; service/security messages may still be sent when needed to operate your account.
  • Local data — Clear browser storage for this site to remove local drafts.

Depending on where you live (for example California, EEA, or UK), you may have additional rights to access, correct, delete, restrict, or port personal data, or to object to certain processing. To exercise those rights, contact us at the email below. We may need to verify your request. You may also have the right to lodge a complaint with a supervisory authority.

10.International transfers

We are based in the United States. If you access the Service from outside the U.S., your information may be processed in the United States and other countries where our providers operate. Those countries may have different data-protection laws than your home country.

11.Children

The Service is for users eighteen (18) years of age and older. We do not knowingly collect personal information from children under 18. If you believe a minor has provided us information, contact us and we will take reasonable steps to delete it.

12.Documents and third-party personal data

Contracts often include names, emails, phone numbers, and business details of other people (band members, venue staff, sponsors). If you enter someone else's personal data into a document, you are responsible for having a lawful reason to do so and for how you share that document. PlanItTour processes that content as part of providing the tool you requested; we do not use third-party contact details from your contracts to market to those people.

13.Do Not Track and automated decisions

There is no single industry standard for "Do Not Track" browser signals. We do not currently respond to DNT signals in a special way beyond our general practices in this Policy. We do not use automated decision-making that produces legal or similarly significant effects about you solely based on profiling.

14.Changes to this Policy

We may update this Privacy Policy by posting a revised version on the Website with a new "Last updated" date. Material changes may also be highlighted in-product or by email when appropriate. Continued use after the effective date constitutes acceptance where permitted by law. If you disagree with changes, stop using the Service and request account deletion if needed.
